Logify is operated by i45 OÜ, Mäealuse 2/1, Tallinn 12618, Estonia (info@logify.com). i45 OÜ is the data controller for account and organization data, and acts as processor on behalf of the central account holder for trip data collected through connected users' use of the app, per the terms of service.
Account data (name, email, phone), organization data (company name, structure, roles), and trip data (GPS coordinates, timestamps, distance, and any category, purpose, or notes you add to a trip). On mobile, the app also processes device motion/Bluetooth signals used to auto-detect trip start and stop. We also collect standard usage/log data when you use the web or mobile app — IP address, browser or device type, pages visited, and diagnostic data — used to keep the service secure and working correctly.
Every trip is recorded to the driver's own account first and is not visible to the organization until the driver explicitly shares it — either individually or as part of a submitted report. This is a deliberate default in how Logify is built, not a setting that can be silently switched off by an administrator. If your account is not connected to any organization — for example, when you use Logify as a sole trader — there is no central account for your trips to be shared with, so your data simply stays private to you. Connecting your account to an organization later does not, by itself, share any of your existing trip data with it: sharing still requires your explicit action for each trip or report, exactly as described above.
We process account and trip data to provide the service (contract performance), to secure and maintain the app (legitimate interest), and to meet accounting/tax retention obligations where trip reports are used for mileage reimbursement or tax purposes (legal obligation). Where we send optional product updates, we rely on your consent, which you can withdraw at any time.
We may disclose personal data where we believe in good faith this is necessary to comply with a legal obligation, protect and defend the rights or property of i45 OÜ, investigate possible wrongdoing in connection with the service, or protect the personal safety of users or the public.
Within your organization, only what you actively share becomes visible, and only to the roles your organization has configured to see it (administrators, accountants/controllers with assigned data groups). Outside your organization, we may share data with service providers who perform work on our behalf — our hosting provider (Microsoft Azure), and, for the mobile apps, Firebase (Google) for crash reporting and product analytics — who are contractually bound to use it only to perform that work and not for their own purposes. We do not sell trip or personal data to third parties or use it for advertising.
Our mobile apps use Firebase, provided by Google, for crash reporting (Firebase Crashlytics) and product analytics (Firebase Analytics). Firebase Analytics runs on the same underlying platform as Google Analytics, so data collected this way is processed by Google under its own privacy practices as well as ours — see Google's Privacy & Terms at https://policies.google.com/privacy for details. You can limit what Firebase collects through your device's advertising and diagnostics settings. The web app does not use Google Analytics, Firebase, or any other third-party service to track your behavior for advertising or product-analytics purposes. It does use Microsoft Azure Application Insights for server-side error and performance monitoring — this processes standard request data (IP address, pages visited, response times, and diagnostic/error information) to keep the service reliable and secure, as described under "What we collect" above, not to build an advertising or behavioral profile of you.
Data is hosted on Microsoft Azure. Data in transit is encrypted (HTTPS). [Region/data-residency detail to be added once confirmed.] Where personal data is transferred outside Estonia or the EU/EEA — for instance to a hosting region outside the EU, if applicable — we ensure appropriate safeguards are in place. No method of transmission over the internet or electronic storage is 100% secure, and while we use commercially reasonable measures to protect your data, we cannot guarantee absolute security.
Account data is retained for as long as your account is active. Trip data is retained per your organization's configured retention period, or for the statutory period required for accounting/tax records where applicable. You can request deletion of your account and data at any time via Settings or by contacting us — see "Your rights" below. Under the GDPR, you have the right to access, correct, or delete your personal data, restrict or object to its processing, and receive a copy of it in a portable format. To exercise any of these, contact us at info@logify.com, or use the "Delete my data" option on logify.com — available as a web page, so you can request deletion whether or not you have the app installed. You also have the right to lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon).
We use cookies to operate and secure the service and to remember your preferences: session cookies (to keep you signed in), preference cookies (to remember your settings), and security cookies. We do not use third-party advertising or tracking cookies. You can instruct your browser to refuse cookies, though some parts of the service may not work correctly without them.
Our service may contain links to third-party sites we don't operate. We're not responsible for their content or privacy practices — review their own policies before providing any information.
Logify is a business tool for organizations and the connected users they work with, and is not directed at or intended for use by anyone under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, contact us at info@logify.com and we'll take steps to remove it.
We'll post any changes to this page and update the effective date above. Material changes — especially anything affecting how trip data is shared — will be communicated to you directly (e.g. by email), not just posted silently.
